About This Job and Job Description:
• work effectively and efficiently as an administrative team to track correspondence, record expenses, and maintain inventory
• maintain and maintain the Manager's schedule and ensure all things needed for the meeting are available
• write regular correspondence and provide word processing services
• provide support in the preparation of reports and presentations
• respond to inquiries, arrange meetings and greet visitors
• organize information in electronic and hard copy filing systems
Qualifications
Technical skills:
• Good skills in various computer applications such as PowerPoint, Word, Outlook, Excel and Database software to track and prepare presentation materials, graphs, charts, tables, spreadsheets, correspondence, using complex features
Applied Skills:
• Have good time management and organization to organize and coordinate appointments, conferences and meetings as well as travel/accommodation arrangements
• Able to manage and prioritize own workload in urgent deadlines and contribute effectively as part of the administration team
• Have interpersonal communication skills both orally and in writing to provide good customer service, collaborate effectively with other staff and be able to quickly create letters from oral or written instructions
• Possess analytical, judgmental, and decision-making skills to determine priority actions for staff/business units on behalf of managers
• Be able to determine the extent of information to be submitted in response to inquiries and assess the confidentiality of information to avoid improper disclosure of information
Knowledge:
• Strong knowledge of administrative practices in maintaining filing systems, sorting/distributing mail, greeting visitors, answering and diverting phone calls to staff and managing office supplies, inventory control and asset updating
• Strong knowledge of arithmetic and financial processes to calculate employee attendance and streamline expenses related to expense claims, purchase card reports, purchase orders and invoices
